Position Overview:

Ultimate Staffing Services is actively seeking a dedicated Administrative Assistant to join a vibrant team in California. This role is essential in providing comprehensive administrative support to department leadership and team members, ensuring smooth and efficient office operations.

Responsibilities:

  • Provide day-to-day administrative support to department leadership and team members.
  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare, edit, and format documents, presentations, and reports.
  • Handle incoming calls, emails, and correspondence with professionalism.
  • Organize and maintain digital and physical filing systems.
  • Assist with onboarding tasks and internal communications.
  • Arrange travel, accommodations, and itineraries as needed.
  • Support office operations, including ordering supplies and managing vendor relationships.
  • Track expenses, process invoices, and assist with basic budgeting tasks.
  • Coordinate team events, meetings, and company-wide activities.
  • Perform other administrative tasks as assigned to support the business.

Qualifications:

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle multiple tasks and prioritize effectively.
  • Experience with calendar management and scheduling.
  • Professional demeanor and ability to maintain confidentiality.
  • Previous experience in an administrative role is preferred.

Required Work Hours:

Monday through Friday, 1st Shift

Additional Details:

Pay Range: $22.00 - $25.00 per hour
